Description and Scope of Data Processing

We process personal data that we receive from you during the application process and that is necessary for the purpose of establishing an employment relationship.


The personal data includes, in particular:

  • Name (first and last name)
  • Email address
  • Telephone number
  • Gender
  • Home address
  • Application documents and their data (resume, certificates, diplomas, etc.)

We process the data you provide exclusively for evaluating and selecting suitable candidates and for contacting you. The processing is carried out to establish an employment relationship as part of pre-contractual measures taken at your request.


As a company, we are subject to various legal obligations, i.e., legal requirements (e.g., social security law, occupational safety, tax laws). The purposes of processing include, among other things, identity verification, fulfilling social security and tax-related control, reporting, or documentation obligations, and managing risks within the company. If necessary, we process your data beyond the fulfilment of the contract to protect our overriding interests. For example, in asserting legal claims and defending in legal disputes.


If you have given us your consent to process your personal data, the processing will only be carried out according to the purposes specified in the consent declaration and to the extent agreed therein. Consent can be revoked at any time. The revocation of consent only takes effect for the future and does not affect the legality of the data processed up until the revocation. No disadvantages arise for you from the revocation of your consent. This applies to consents for the long-term storage of your application documents for further job postings in case of a rejection.


Visiting Our Website

When you access our website, a limited amount of personal data is automatically collected and stored in log files. These include, in particular, your IP address, date and time of access, and information about the used web browser and operating system, time zone settings. This data is technically necessary for displaying the website and ensuring its stability. Further data about your interaction with the website can be collected through the use of cookies. This is done to continuously improve our offerings and our website.


Using Job Search

When using our job search, we collect the filters you choose for region and job field. These details serve as filters to display job offers that match your preferences.


Candidate Registration / Application / Joining the "Talent Network"

We collect your personal data directly from you and from other sources, such as when you apply for a job through a job board, directly via our website, on social media sites like LinkedIn or XING, or when you respond to one of our requests via Jobroom (RAV database). To provide you with our staffing services, we ask you to register as an applicant. During our applicant registration process, we collect your personal data directly from you, through your resume, or additional application documents (such as certificates and diplomas). We may transfer your personal data to our clients in Switzerland. However, this is done only in prior consultation and with your respective consent. Our clients may request additional personal data about you in relation to their job offers and requirements. Your personal data is securely stored in our online applicant database. The categories of personal data we may collect include:

  • Your identity (full name, previous names, evidence of name change); gender, date of birth, and marital status
  • If necessary, proof of your work permit, which may include a photo, as well as nationality, place of birth, driver's license, etc. (in accordance with legal requirements)
  • Contact details, including your email address, home address, and telephone number so we can contact you
  • Possibly payroll information, such as your social security number or bank account number
  • Your criteria, preferences, and expectations for the job search
  • Your qualifications, skills, work experience, and education
  • Current and desired salary and other benefits
  • Educational history
  • Professional career
  • Work and/or training certificates
  • Name of an emergency contact person
  • Details of health restrictions (if you have provided them and they are relevant)
  • References
  • Other information contained in your resume or that you wish to provide to us

Our recruitment specialists also use this information to send you individual emails with specific job offers that might interest you and match your preferences. If you do not wish to receive such notifications, you can notify us at any time via email, and we will delete your complete data accordingly.


Special Categories of Personal Data

Information about your health status and/or criminal record will only be processed if relevant to your application (e.g., to assess whether there are reasons not to process your registration as an applicant or your application further) and if the legal requirements are met. This information will only be stored as long as necessary and then deleted.


Clients and Suppliers

If you are already a client or supplier/service provider or a potential client or supplier/service provider, we collect and process data about individuals in your company. We may store the name and business email address and other business contact details of the relevant individuals in our database as contacts for the company. Generally, we process only the name and contact details of the individuals in companies to contact the company in connection with our services or as a recipient of the supplier/service provider’s deliveries/services and, if necessary, to approve timesheets. If a contact person in the company is also registered with us as a candidate, we may process additional personal data to provide recruitment services and other purposes as outlined in this Privacy Policy. The source of the name and contact details of a contact person in the company can be the person themselves, or the relevant information may come from a member of the company’s HR or procurement department, another hiring manager, an existing business contact/contact person, or an applicant we have placed in the company. We may also obtain this information from websites, social media, and other sources. A person who is a contact in a company for us can contact us at any time and request that we no longer send business correspondence to their business email address.


Recipients of the Data

Within the company, those departments that need your data to fulfill contractual, legal, and regulatory obligations and to protect our overriding interests will have access to it (e.g., our HR department). Your data may be passed on to service providers who act as processors for us. These may include external service providers in the following areas:

  • Personnel management or candidate management software
  • Software for creating candidate dossiers
  • Support or maintenance of IT or IT applications
  • Data destruction
  • Payroll processing

In addition to the recipients explicitly listed in this Privacy Policy, we may share your personal data, if permitted, with the following categories of recipients:

  • To our clients as part of our staffing services.
  • To government authorities, including police and other law enforcement agencies; regulatory and supervisory authorities.
  • To comply with applicable laws or a legal process
  • To IT consultants performing testing and development work on our IT systems on our behalf
  • To service providers contracted by us for data processing

All mentioned entities, companies, or service providers are contractually bound and obligated to treat your data confidentially. Processing is permitted exclusively according to our instructions. We do not allow these recipients to use your data for their purposes. Upon termination of the business relationship with these recipients, we require them to return or delete the transmitted personal data or, alternatively, to anonymize it so that you can no longer be identified. Some of these recipients are also independent controllers responsible for processing your personal data for their purposes. For example, the local tax authority acts as a controller for tax purposes. We may not be able to impose any obligations or restrictions on these controllers regarding how they process your personal data.


Transfer of Personal Data Abroad

In principle, the processing of your personal data takes place in Switzerland. Due to our cloud-based software, your personal data may also be transferred abroad. Our service providers are located in the EU member states. When transferring your personal data to a country without a comparable level of data protection, we contractually obligate these recipients to maintain an adequate level of protection.


Retention Period

We retain your personal data as long as necessary to fulfill the purposes for which we collected it. This means we keep your personal data for the duration of your business relationship with us, i.e., while we provide you with staffing services, manage a job application, and stay in contact with clients and hiring companies, and even after the termination of our business relationship. If you no longer wish to use our staffing services, you can request us to delete your personal data from our applicant database. Subject to the services we have provided, we may continue to retain some of your personal data for legal, compliance, accounting, and tax purposes, as well as other legitimate business purposes. If no statutory retention period is specified, we determine the appropriate retention period for personal data, considering all relevant criteria. In certain circumstances, we anonymize your personal data so that you can no longer be identified. We do this for research or statistical purposes. In this case, we may use this anonymized data indefinitely without notifying you.


Your Rights

You have the following rights regarding your personal data:

  • The right to obtain information about what personal data we store about you and how we process it
  • The right to receive a copy of your personal data in a common format
  • The right to correct your personal data
  • The right to delete your personal data
  • The right to object to the processing of your personal data

Please note that there are exceptions to these rights. To the extent permitted by law, we may deny your request to exercise these rights. You can revoke a given consent to the processing of personal data at any time. Please note that the revocation only takes effect for the future. Processing that took place before the revocation is not affected by it. You also have the right to file a complaint with the Federal Data Protection and Information Commissioner (FDPIC).


Data Security

We have taken appropriate security measures to prevent your personal data from being accidentally lost, used, accessed, altered, or disclosed in an unauthorized way. Additionally, we limit access to your personal data to those employees, agents, contractors, and other third parties who have a business need to know. We have procedures in place to deal with suspected data breaches and will notify you and the FDPIC of a breach when legally required to do so.

Our website may contain links to third-party websites, plug-ins, and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements.


Changes to This Privacy Policy
